Printer problems are one of the most common IT issues in any office. Before submitting a ticket, try these troubleshooting steps β€” many printer issues can be resolved in just a few minutes.


My Printer Won't Print

Step 1: Check the Basics

  • Is the printer powered on and showing a ready/green status light?

  • Is there paper in the tray? Is the paper tray fully seated?

  • Are there any error lights or messages on the printer's display panel?

  • Is the printer connected to the network (check for a network/Wi-Fi icon on the display)?

Step 2: Verify the Correct Printer is Selected

  • When you print, make sure you're sending the job to the correct printer β€” not "Microsoft Print to PDF" or another device.

  • In your application, go to File β†’ Print and check the printer name in the dropdown.

Step 3: Restart the Print Spooler

If your computer shows the print job as sent but nothing happens:

  1. Press Windows Key + R, type services.msc, and press Enter.

  2. Scroll down to Print Spooler.

  3. Right-click it and select Restart.

  4. Try printing again.

Quick Alternative: Restart your computer β€” this also restarts the Print Spooler.


I Have Stuck or Failed Print Jobs in the Queue

  1. Click the printer icon in your system tray (bottom-right of your screen near the clock).

  2. If you see pending print jobs, select them all (Ctrl + A) and press Delete.

  3. Try printing a fresh test page.

If jobs keep getting stuck after clearing the queue, restart your computer and try again.


Setting a Default Printer

Tired of selecting the right printer every time?

  1. Open Settings β†’ Bluetooth & devices β†’ Printers & scanners.

  2. Turn off "Let Windows manage my default printer" at the bottom of the page.

  3. Click on the printer you want as your default.

  4. Click "Set as default".


Printing Double-Sided (Duplex)

  1. Open your document and go to File β†’ Print.

  2. Look for a setting called "Print on Both Sides", "Duplex Printing", or "Two-Sided".

  3. Choose either:

    • Flip on Long Edge β€” for standard documents (like a book).

    • Flip on Short Edge β€” for landscape or top-bound documents.

  4. Click Print.

Note: Not all printers support automatic duplex printing. If the option doesn't appear, your printer may require manual flipping.


Printing from a Mobile Device

iPhone / iPad (AirPrint)

  • Make sure your phone and printer are on the same Wi-Fi network.

  • Open the document or photo, tap the Share icon, and select Print.

  • Choose your printer from the list.

Android

  • Open the document, tap the three-dot menu β†’ Print.

  • Select your printer. If it doesn't appear, you may need to install the printer manufacturer's app from the Play Store.

Note: Not all office printers support mobile printing. If you're having trouble, try emailing the document to yourself and printing from your computer.


Printer Not Showing Up at All

If your printer doesn't appear in the printer list:

  1. Make sure the printer is powered on and connected to the network.

  2. Restart your computer.

  3. Go to Settings β†’ Bluetooth & devices β†’ Printers & scanners β†’ Add device and see if it appears.
